QR code table ordering: how it works and whether it's right for your restaurant

How QR table ordering works, its pros and cons, what it changes for staff and guests, and how to introduce it without losing the human touch.

Table ordering lets guests order from their phone by scanning a code on the table. Done right, it frees your team at busy moments. Done badly, it feels like being handed over to a machine.

How it works

  1. Each table has its own QR code.
  2. The guest scans, browses the menu and adds dishes, picking sizes, extras and notes.
  3. The order arrives on a live order board that your team sees, labelled with the table.
  4. Staff accept it, mark it preparing, ready and served. The guest sees the status on their phone.
  5. Payment happens at the table or counter as usual.

In Dishfolio, prices are always calculated on the server, never trusted from the phone, so a manipulated order can't change what it costs.

The benefits

  • No waiting to order at peak times, and second rounds of drinks come easily.
  • Fewer mistakes: the order is written by the guest, with options and notes.
  • Staff spend time on hospitality, not on taking down orders.

The trade-offs

  • Some guests prefer a person. Keep table ordering optional and keep staff visible.
  • Kitchen flow changes. Orders arrive whenever guests are ready, not when a waiter goes round.
  • Busy nights need a brake. You need a way to pause ordering. In Dishfolio it's one switch, and guests can still browse.

Introducing it well

  • Start with drinks and desserts, then add mains.
  • Put a short line on the table: "Order here or ask us, whatever you prefer."
  • Set a minimum order if needed, and pause ordering during rushes.
  • Watch the order board with sound on so nothing waits.

Is it right for you?

It's a strong fit for busy casual restaurants, beer gardens, hotel bars, cafés with table service and venues with lots of tourists. Fine dining often prefers ordering through staff, with the digital menu for browsing and languages.

Table ordering is included in Dishfolio's Business plan, with up to 200 tables per location. See plans.
